How the refundable engine surcharge works

The £350 surcharge is a temporary deposit used when a replacement engine is supplied on an exchange basis. It allows your new engine to be dispatched before your old engine has been returned. Once the original unit arrives back complete, drained and suitable for exchange, the £350 is refunded to the original payment method. The surcharge is separate from the engine price and from delivery or collection charges.

What must be returned

Return the old engine that corresponds to the replacement unit you purchased. It should be assembled and complete as an exchange core, including the major internal and external components that formed part of the supplied engine configuration. Do not strip useful parts from the old unit before return. If accident damage, a broken casing or missing components may affect its eligibility, email photographs to us before arranging transport so we can advise you.

Drain and package the old engine

All oil, coolant, fuel and other fluids must be fully drained. Seal open pipes and ports, place the engine upright on the pallet used for the new unit, and secure it so it cannot move in transit. Reuse the straps, wrapping and edge protection where possible. A leaking or unstable pallet can be refused by the carrier and may delay the return. Your garage should store the engine under cover while it is waiting for collection.

Returning the exchange unit

The exchange engine should be returned within 30 days of receiving the replacement. You can arrange suitable pallet freight yourself, or Global Engines can organise collection for an £85 collection fee. Email info@global-engines.co.uk with your invoice number, collection address, contact name and confirmation that the drained engine is secured on a pallet. We will then confirm the collection arrangements in writing.

Inspection and refund

When the old unit reaches us, it is checked against the original order and inspected for completeness. If it meets the exchange requirements, the full £350 surcharge is refunded to the payment method used for the order. Bank processing times may affect when the credit appears on your statement. If there is a problem with the returned unit, we will contact you with the details rather than making an unexplained deduction.

Why exchange engines use a surcharge

Exchange supply keeps the replacement process moving: the vehicle can receive its brand new crate engine without waiting for the failed unit to travel back first. The refundable deposit also ensures that the correct old core is retained for responsible handling. It does not change the condition of the engine you buy. Every engine listed by Global Engines as brand new is a zero-hours crate unit built to original manufacturer specification, not a used or reconditioned engine.

Information needed to arrange collection

Before emailing, make sure the exchange engine is drained, wrapped and secured to a pallet. Include the Global Engines invoice number, collection postcode, full address, site contact and any access restrictions. Confirm whether the collection point is a workshop, business or residential address and the days when somebody can hand the pallet to the driver. Accurate details prevent a failed collection, which can cause delay and an additional carrier charge.

Access for the collection vehicle

Collection is made by a tail-lift vehicle with a pallet truck. The pallet must be waiting on firm, level ground that the driver can reach safely; pallet trucks cannot move over gravel, grass, steps or steep slopes. The engine cannot be loose, suspended from a crane or stored where the driver must enter a building to retrieve it. Tell us about narrow roads, low bridges, height restrictions or timed access before the booking is made.

Tracking your refund

Keep the collection confirmation or your own carrier’s tracking reference until the refund is complete. The surcharge cannot be released while the engine is still in transit because the returned unit must first be identified and checked. After approval, the refund is sent back through the original payment route rather than paid to a different card or account. Contact us with the invoice and return tracking details if you need an update on its progress.
